Botox Coordinator
Position Summary
The Botox Coordinator is responsible for coordinating all aspects of Botox treatment workflow, including obtaining insurance authorizations, verifying benefits, ordering and tracking Botox medication, and communicating financial responsibility to patients. This role serves as a liaison between providers, administrative staff, specialty pharmacies, and patients to ensure timely treatment and accurate billing.
Under general supervision, the Botox Coordinator gathers required patient information, prepares necessary documentation, and ensures accurate insurance and billing data are obtained prior to services.
Key Roles & Responsibilities
- Coordinate all Botox orders and schedule deliveries with specialty pharmacies
- Obtain and manage all Botox prior authorizations
- Complete Botox insurance verifications (BOTOXONE portal and verbal verifications)
- Communicate patient financial responsibility for medication and injections
- Discuss payment options when patients have out-of-pocket costs
- Maintain communication with providers and administrative staff regarding scheduling and inventory
- Answer patient questions and direct concerns to appropriate departments
- Document all patient and insurance carrier communications
- Ensure referrals are received accurately and processed appropriately
- Answer incoming calls, route messages, and respond professionally
- Promote a positive patient experience across all interactions
- Maintain and update patient records for treatment availability
- Schedule Botox appointments and follow-up visits
- Review and maintain provider schedules to support productivity
- Track Botox inventory and monitor usage
- Meet periodically with Allergan representatives for updates on medication, authorizations, savings programs, and reimbursement
- Perform additional duties as assigned

Requirements
- High school diploma or equivalent required; some college preferred
- Minimum 2 years medical authorization experience (Required)
- Minimum 2 years appointment scheduling experience (Required)
- Minimum 2 years customer service experience (Required)
- Insurance verification experience preferred
- Experience with EMR systems and strong computer skills
- Knowledge of medical terminology
- Excellent phone, interpersonal, and communication skills
- Strong grammar, spelling, and punctuation skills
- Excellent time management and organizational skills
- Ability to multitask in a high-volume environment
- Ability to work independently and as part of a team
- Ability to interact professionally with physicians, staff, and patients
